1 - Ensuring Document Compliance and Accessibility in Jira

Problem

Company Xyz faced the challenge of processing customer files and personal information received via email and fax manually, which was tedious for everyone involved.

They aimed to eliminate emails and faxes by tracking work and attachments in Jira. For their project, it was essential that tickets in Jira were visible to non-department users, while attachments remained restricted to departmental access only.

Solution

Company Xyz developed a web page for customers to upload documents directly, creating Jira issues and attaching documents via the Jira REST API. They installed Document Vault to replace the standard Jira attachments panel, ensuring that attachments are only visible to authorized department users. This configuration improved document security and streamlined the management process, with non-department users having no indication of the attachments’ existence.

Technical Details

They developed a web page that enabled their customers to upload documents directly. The site utilized the Jira REST API to create Jira issues and attach the uploaded documents as standard Jira attachments.

To enhance security and manageability, they installed Document Vault and configured it to hide the standard Jira attachments panel. Instead, all attachments were displayed in the Document Vault panel.

Document Vault was configured at the project level to restrict access to the panel to department users only. Non-department users are unaware of the attachments, as there is no indication of their presence.
